I have a custom object AddressLink__c which links my custom object Address__c and Contract__c. There are two record types for AddressLink__c and page layouts. I have a Prop_RT record type and associated layout and a Terr_RT record type and associated layout.

In my application I always have to enter addresses in Address__c and then link them against a contract using the record type Prop_RT. And sometimes, I need to add another link to the address using the other record type. I cannot change that structure, as it is required for reporting etc, but I need a way to only lookup the addresses that are linked to the Contract via Prop_RT already, so that I don't need to search through the whole pool of addresses again, but can just link the ones already associated to the account.

It doesn't seem to be possible to create a lookup filter for only a specific record type or page layout.

Something that could be easy to test, done only with configuration is to create a new field on the object which will be populated by a workflow rule with a number or a value depending on the record type when the record is saved so that in your lookup filter you can filter by that field.

  • I don't think that will work, because I only need a filter on one of the record types, but it seems if I want a lookup filter, it needs to be on both record types, right? – Lily Dec 19 '14 at 15:49
  • Yes you are right, or you can create two look-ups and display the correct look-up in the page layout of the record. Then you can add two look up filters. The only disadvantage is that you are duplicating relationships. Another option is to look for a VisualForce/Apex solution. – Mihai Neagoe Dec 19 '14 at 15:52
