When I log into Salesforce UI to add a user, I only see 9 licences in the userlicense drop down. But when I go to the profiles section I can see 23 licenses. Why is that? Based on what criteria does Salesforce populate the license drop down in add user page.

My main issue is that User License drop down in add New User page does not show "Salesforce" user license. Whys is that?

I need to give similar functionality via the Api. Therefore I need to get only licenses/profiles displayed available for add new User.

So far I am using, var profileQry = await client.QueryAsync("SELECT Description,Id,Name,UserLicenseId FROM Profile");

        var licenseQry = await client.QueryAsync<Object>("SELECT Id,Name,TotalLicenses FROM UserLicense");

It's clear that if there are no available license the add new user drop down does not show those license types (as correctly mentioned by Tushar Sharma). But that solves part of the problem.

My updated question (scenario) is, Why "Salesforce Platform", "Customer Community Login","Authenticated Website" etc. license types not appearing in the "Add new user" drop down even though there are available licenses?

How can I query that list (options available for New User) via the api? (whhat should be the where condition for the following query)

var profileQry = await client.QueryAsync<Profile>("SELECT Description,Id,Name,UserLicenseId FROM Profile");

Highly appreciate any help on this.

    first i suggest you to post this as new question and add reference to this question as follow up. Now you can't create community user from directly here thats why they are not available. you need to come from contact enable external user to use these license. Feb 1, 2016 at 6:33
  • Is there any logic to filter out whats and whats not (license types) allowed in add user? Or it's just set of license list that has no specific logic?

Salesforce allows different set of license based on your organizations. For example Developer Edition has only 2 Salesforce User License. In your case you have reached the limit thats why you cannot create user with Same license. You need to purchase new license or deactivate some old user which you are not using and then create new user.

In the quick find search box > Search System Overview. In this screen you will get information of all your available license and consumed license.

  • Hi Thushar, what you are saying is that "Standard user" license not appearing in the add new user drop down because the available licenses is "0". Basically if the available license is "0" for a particular license, I can't see that in the list. Is that correct?

  • Referring to the UserLicense object, developer.salesforce.com/docs/atlas.en-us.api.meta/api/… link, if (TotalLicenses - UsedLicenses) > 0, it will show the value in the drop down...
